Video analytics may be aggregated, but underlying session and device information may still qualify as personal information under applicable law.
Analytics generally do not establish an individual's precise physical location or the identity of a person viewing a video. Location inferred from an IP address is approximate and is not precise GPS tracking.
2.5 Customer Support Information

- Name and contact information.
- Manufacturer and product information.
- Messages and questions.
- Support ticket descriptions.
- Support case identifiers.
- Chat conversation history.

2.6 Live Camera, Microphone, and Screen-Sharing Information
When users voluntarily participate in live video support, information they transmit through their cameras, microphones, or screen-sharing features may be visible or audible to the support representative and other authorized call participants.
Setup Videos does not record, save, or archive the audio or video content of its live customer support calls.
Additional details about video support appear in Section 8.
2.7 Technical and Security Information
When users access the Services, we may automatically receive:
- Internet Protocol (IP) address.

- Device and operating system information.
- Requested URLs.
- General location information.
- Session data.
- Cookies or similar identifiers.
- Login and authentication events.
- Error logs.
- Network and connection information.
- Information used to identify suspicious activity.
We process this information to operate, maintain, secure, diagnose, and improve the Services.
2.8 Payment and Transaction Information

- Transaction dates.
- Amounts paid or outstanding.
- Subscription or service-plan information.
- Payment status.
- Limited payment-related identifiers.
Payment card and banking information, where applicable, may be processed by authorized payment service providers.
We do not require customers to submit payment card details through ordinary technical support chats or tickets. Please do not send payment card information through support tickets or chat.
2.9 Information That May Be Sensitive
Photographs, videos, documents, communications, or technical files submitted by users may incidentally reveal sensitive personal information.
Examples could include information about an individual's health, home, surroundings, precise location, private communications, or other protected characteristics.
We do not require these details to provide ordinary assembly and installation support.
We ask users not to include unnecessary sensitive information in submissions.
We do not use live customer video support for facial recognition or biometric identification.
Where consent or special protections are legally required for sensitive information, we will apply them.
3. Sources of Personal Information
We may collect personal information from:
- You directly: Through forms, registrations, orders, uploads, support requests, and communications.
- Your organization: Through an employer, manufacturer, or business customer that administers an account.
- Business customers and manufacturers: When they provide authorized contact or product support information.
- Your browser or device: Through technical interactions with our websites and software.
- Support representatives: Through records and notes created while assisting customers.
- Service providers: Through authorized hosting, communications, security, and analytics systems.
- Third-party integrations: Where you or a business customer authorizes an integration.
We do not require individuals to create an account simply to watch every publicly accessible video or use the free browser-based Manual Maker.
4. How We Use Personal Information

Marketing and Business Communications
We may send newsletters, product announcements, service information, or promotional communications where permitted by law.
Recipients may unsubscribe from optional marketing emails using the unsubscribe method provided in those communications or by contacting us.
Transactional communications concerning active accounts, purchases, projects, or support requests are separate from optional marketing communications.
Where additional consent is required for marketing calls or text messages, we will obtain the legally required authorization.
We do not treat submission of a support ticket as permission to receive unrelated marketing communications.
5. Customer Portal and Account Privacy
Our customer portal allows authorized users to manage projects, videos, manuals, files, and related services.
Information stored in the portal may include project files, company information, user details, communication records, and service usage information.
Account administrators may authorize additional users, assign permissions, and manage access to their organization's materials.
Authorized users may be able to view or download information associated with their organization according to their assigned permissions.
Customers are responsible for managing access permissions granted to their personnel and for notifying us when an authorized user should no longer have access.
We implement access controls appropriate to the platform and take reasonable measures designed to prevent unauthorized disclosure between unrelated customer accounts.
Account and project information may be retained while an account or service relationship is active and for a limited period afterward, subject to our retention practices, applicable contracts, and legal obligations.
6. Manual Maker, Flipbooks, and Digital Publications
6.1 Manual Maker
Setup Videos offers tools for creating and editing product manuals.
Users may provide photographs, descriptions, product specifications, logos, instructions, and other content.
The free browser-based Manual Maker is designed to permit users to create and download manuals without registering for an account.
For this mode, manual content is designed to remain in the user's browser during editing rather than being saved automatically as a persistent account project.
Normal website operation, security logging, and any specifically requested server-side processing may still involve technical information.
6.2 Saved Manuals
When users choose an account-based feature to save their manuals, we may store the relevant project content so they can access and modify it later.
Saved content may include images, text, formatting, branding information, generated documents, and associated metadata.
6.3 Flipbooks and Publishing
Customers may choose to publish manuals as online flipbooks or share them through links, QR codes, and embedded viewers.
Depending on the selected publication and sharing settings, these materials may become accessible to individuals outside the customer's organization.
Users should not include confidential or sensitive personal information in materials intended for public distribution.
Possession of a public or unlisted link may allow access to the material. An unlisted link is not a substitute for access controls.
6.4 Automated Features and Translation
Some tools may offer automated formatting, translation, image processing, or other assisted functions.
Where a feature requires server-side or third-party processing, content necessary to perform the requested operation may be transmitted to authorized systems or service providers.
We limit such processing to disclosed purposes and applicable contractual obligations.
We do not treat use of our tools as blanket permission to use confidential customer materials for unrelated artificial intelligence model training.
7. Interactive Video Players, Galleries, QR Codes, and 3D Models
Our interactive media services may operate on Setup Videos websites or be embedded on a third-party website.
7.1 Embedded Video Players
When an interactive Setup Videos player is embedded using an iframe or JavaScript, our platform may receive technical and usage information from the viewer's interaction with that player.
This may include video playback, chapter selection, device and browser information, approximate geographic region, and other events described in Section 2.
The website operator may separately collect information through its own website.
7.2 Analytics Available to Manufacturers
Business customers may receive access to reports concerning their hosted materials.
Depending on the features provided, these may include:
- Video views and usage patterns.
- General visitor geographic distribution.
- Watch time and engagement.
- Chapter and step interactions.
- QR code activity.
- Video or manual access statistics.
- Aggregate usage trends.
We limit the information made available through the Services according to applicable permissions, contractual obligations, and privacy requirements.
7.3 QR Codes
When an individual scans a QR code that directs them to our Services, the destination may collect ordinary web access information and record activity associated with that QR code.
Scanning a QR code does not, by itself, grant access to the individual's camera, microphone, contact list, or stored photographs beyond what the user and device expressly permit.
7.4 Interactive 3D and AR/VR Features
Our Services may include 3D product viewers, augmented reality features, and other interactive visualization technologies.
These may process device capabilities and interaction information needed to display the experience.
If a feature requires camera access, the appropriate device or browser permission will be requested.
Using a 3D model or interactive product viewer does not automatically authorize recording or saving live camera footage.
8. Live Video Support Using LiveKit
Setup Videos offers live customer video and audio support using LiveKit communications technology.
The purpose of live video support is to enable authorized representatives to provide real-time assistance with assembly, installation, product operation, maintenance, and troubleshooting.
8.1 Camera and Microphone Permissions
When a user requests video support, the browser or device may ask for permission to access the camera and microphone.
Users control these permissions through their device and browser settings.
Setup Videos does not intentionally activate a customer's camera or microphone without the necessary authorization.
Customers may disable their camera or microphone, mute, turn off video, stop any screen sharing, or leave the session using the available controls.
8.2 No Recording of Live Calls
Setup Videos does not record, save, archive, or maintain recordings of live customer video or audio support calls.
Specifically:
- Live calls are not intentionally recorded by Setup Videos.
- We do not maintain a recording library of customer video calls.
- We do not use live support calls to produce training videos without a separate authorized process.
- We do not use live video for facial recognition or biometric identification.
- We do not use live calls to train unrelated artificial intelligence models.
LiveKit transmits audio and video data to enable real-time communication.
Technical systems may temporarily process or buffer transmitted media as necessary to establish and operate the live connection. This is distinct from intentionally creating and retaining a call recording.
Technical session information, such as connection logs, participant identifiers, session duration, and diagnostics, may be processed or retained as necessary for operations and security.
This section describes Setup Videos' own practice. It does not mean that another participant is technically unable to record a call by their own means outside our systems, or that technical logs do not exist. Separately uploaded photographs, documents, and saved chat messages are not part of the unrecorded live media stream.
8.3 Viewing the Customer's Assembly Video
During a support session, our system may identify which instructional video, product, chapter, or assembly step the customer is viewing.
This information may automatically appear in the support representative's dashboard.
Representatives may use this information to guide customers through the appropriate instructions.
This feature does not require recording the customer's camera feed or accessing their entire device screen.
8.4 Screen Sharing
Customers may be offered optional screen-sharing functionality.
Screen sharing is controlled by the customer and requires the applicable browser or operating-system authorization.
Setup Videos does not intentionally access a customer's full computer screen simply because they have requested video support.
8.5 Photographs and Files Shared During Calls
Customers may choose to upload photographs, documents, or files separately during or after a support call.
Such materials may be saved as attachments to a support case and shared with the responsible manufacturer when appropriate for support, as explained in Sections 9, 10, and 14.
Saved photographs and ticket attachments are separate from the live video transmission and are governed by our support-record retention practices.
8.6 Visibility of Personal Information
Participants should understand that others in a live video session may see or hear information transmitted through an enabled camera, microphone, or shared screen.
We recommend avoiding the display of unnecessary personal information and using available controls to limit what is shared. In particular, customers should avoid showing passwords, payment cards, private documents, or unrelated personal information on camera or on a shared screen.
9. Live Chat and Support Tickets
Our customer support system may provide text chat, support tickets, document attachments, and follow-up communications.
Unlike live video calls, chat messages and support tickets may be saved to allow us to maintain support history and resolve cases.
Saved records may include:
- Customer name and contact information.
- Messages exchanged with representatives.
- Submitted photographs and documents.
- Product and troubleshooting information.
- Internal case notes.
- Dates and timestamps.
- Ticket identifiers and status.
- Actions taken to resolve an issue.
We may use this information to:
- Resolve the current support issue.
- Provide follow-up communications.
- Transfer an issue to another authorized representative.
- Escalate a technical issue to the manufacturer.
- Document service quality and resolution.
- Investigate safety concerns or possible product defects.
- Meet applicable legal obligations.
Access to support records is restricted according to authorized user roles and business requirements.
Customer-submitted photographs and documents will not be publicly published or used in promotional materials merely because they were uploaded to a support ticket.
10. Support Services Provided on Behalf of Manufacturers
Setup Videos may provide its support software to manufacturers or may supply trained representatives who provide support on a manufacturer's behalf.
The manufacturer may determine the purpose of the support relationship and which individuals are authorized to view its customers' support information.
Depending on the particular activity and applicable law:
- The manufacturer may act as the business or controller determining the purposes of processing.
- Setup Videos may act as a service provider or processor on the manufacturer's instructions.
- Setup Videos may act independently for its own account administration, security, billing, legal compliance, and direct business operations.
We may share relevant support information with the manufacturer responsible for the product, including product-related questions, photographs, case notes, and ticket records when necessary for support.
Where we process information on a manufacturer's behalf, applicable contracts and data-processing terms govern our respective responsibilities.
Privacy requests relating to manufacturer-controlled information may be forwarded to or coordinated with that manufacturer as legally appropriate.
A manufacturer's privacy policy may apply in addition to this Privacy Policy.
11. Cookies, Google Analytics, Cloudflare, and Similar Technologies
Our websites and Services may use cookies, browser storage, tracking identifiers, and similar technologies.
11.1 Essential Technologies
These technologies may support:
- Login and authentication.
- Secure account sessions.
- Website functionality.
- Player and application preferences.
- Protection against fraud and abuse.
- Load balancing and reliable delivery.
- Technical troubleshooting.
Some essential technologies may be necessary for the requested service to function.
11.2 Website and Video Analytics
We use analytics technologies, including Google Analytics and our own analytics software, to understand website activity and improve the Services.
Depending on their configuration, these systems may process page visits, device information, session identifiers, interaction events, approximate location, and other usage data.
We may use this information to analyze performance and provide aggregate reporting.
11.3 Google Analytics Is for Website Measurement Only
We use Google Analytics to measure website traffic and how visitors interact with our websites. Depending on its configuration, Google Analytics may process page views, navigation events, cookies or related identifiers, device and browser attributes, general region, and related usage metrics. We use this information to understand site performance, identify navigation problems, and improve the website.
We do not use Google Analytics to produce the video-viewing reports we provide to business customers. Our video players, manuals, galleries, and QR code services use Setup Videos' own analytics technology for those reports. Our current Google Analytics configuration is for website measurement only, without Google Ads remarketing integrations, Google Signals advertising features, or advertising personalization.
11.4 Setup Videos' Own Analytics
Our own analytics components may record views, viewing time, chapter or step interactions, QR code access, approximate viewer region, and technical usage information. Depending on the feature, they may use server logs, browser storage, or session identifiers. Reports shared with business customers may be aggregated, while the underlying records can still be personal information.
11.5 Cloudflare
We use Cloudflare for certain website infrastructure, security, delivery, or performance functions.
Depending on the configuration, Cloudflare may process IP addresses, security signals, device information, requests, and other technical data needed to operate and protect the Services.
11.6 Third-Party Technologies
Some features may use external software or content providers.
These providers, such as YouTube, Vimeo, and LiveKit, may receive information or set or access cookies, identifiers, or other technical information under their own configuration and privacy notices. A business customer's own website, on which our player is embedded, may also have different practices from ours.
11.7 Cookie Controls and Privacy Preferences
Users may manage certain cookies and website permissions through their browser.
Where applicable law requires additional consent or opt-out mechanisms for nonessential technologies, we will provide and honor those controls.
Users should be aware that restricting cookies or browser storage may affect login, personalization, or other features.
11.8 Do Not Track and Global Privacy Control
Browsers may transmit traditional "Do Not Track" signals.
Because Do Not Track does not have a uniformly implemented industry-wide standard, we do not represent that every such signal automatically disables all technical or analytics processing.
Global Privacy Control (GPC) is different.
Where required by applicable law, we will recognize and honor valid opt-out preference signals, including GPC, for covered sales or sharing of personal information.
Such a signal generally applies to the browser or device transmitting it and may apply more broadly when the user can be associated with an account, as required by law.
Users may also contact us to exercise applicable privacy rights.
12. When We Disclose Personal Information
We may disclose personal information to the following categories of recipients when reasonably necessary and permitted by law.
| Recipient | Purpose | Categories of information that may be disclosed |
|---|---|---|
| Hosting and infrastructure providers | Operating, storing, backing up, securing, and delivering the Services | Account identifiers, technical data, and stored customer content as needed |

| Professional advisers | Accounting, legal, auditing, and compliance | Information required for the engagement |
| Authorities and other lawful recipients | Responding to valid legal obligations, protecting rights and safety, or a lawful business transfer | Information appropriately required by the circumstance |
We may also disclose information in connection with a lawful business transfer, merger, acquisition, reorganization, or similar transaction, subject to applicable legal requirements.
We do not authorize service providers to use personal information for unrelated purposes merely because they provide technology to Setup Videos.
Appropriate agreements and safeguards are required where applicable.
13. Sale, Sharing, and Advertising Use of Personal Information
Setup Videos does not sell customers' names, email addresses, telephone numbers, photographs, support tickets, live video content, confidential manuals, or private project files for monetary compensation.
We do not intentionally disclose identifiable support files, customer camera footage, or private project materials to third parties for cross-context behavioral advertising.
We do not knowingly sell or share the personal information of individuals under the age of 16.
Under some state laws, however, a "sale" can include exchanges for nonmonetary value, and "sharing" can include disclosures through certain advertising technologies even when no money is exchanged.
We do not use advertising pixels, advertising cookies, or other targeted-advertising technologies on our websites or video players. We use Google Analytics on our main website to measure how the website is used, not for advertising (no Google Ads remarketing, Google Signals advertising features, or personalized advertising), and Google Analytics is not loaded in our video players or on video pages. Based on these practices, we do not sell personal information and do not share it for cross-context behavioral advertising.
If our practices change so that a legally recognized sale or sharing occurs, we will update this Privacy Policy and provide the applicable notices, opt-out choices, and required preference-signal handling before it begins.
Any material change to these practices will be disclosed as required by law.
14. Data Retention
We retain personal information for periods reasonably necessary to fulfill the purposes described in this Privacy Policy, meet contractual responsibilities, maintain security, and comply with applicable law.
Retention depends on the category of information, its sensitivity, the user's relationship with Setup Videos, applicable customer agreements, and whether preservation is needed for legal or security reasons.
We keep each category of information for the following periods or according to the following criteria.
| Information Category | Retention Criteria |
|---|---|
| Account registration and profile information | While the account remains active; after closure, only as long as needed for legal, security, and accounting obligations |
| Billing, transaction, and accounting information | According to applicable accounting, tax, contractual, and legal requirements |
| Customer project files and saved manuals | During the customer relationship and any applicable contractual retention period |
| Publicly published videos, manuals, and flipbooks | While publication or hosting remains authorized, subject to applicable agreements |
| Google Analytics website data | Kept by Google according to our Google Analytics data-retention setting; aggregated website reports may be kept longer |
| Website and player analytics | While the business customer's videos are hosted with us, so that it can see viewing trends over time; deleted when no longer needed for that reporting |
| Security and technical logs | Generally up to 90 days |
| Live video and audio call content | Not intentionally recorded or retained |
| LiveKit session metadata | Call connection details (such as participant names, start and end times, and diagnostics) are kept by LiveKit under its own retention practices; Setup Videos does not keep call audio or video |
| Support chats, tickets, and notes | Up to 12 months after the last activity on the support case, then deleted automatically. Each manufacturer may choose a shorter period of 30 days or 6 months |
| Uploaded support photographs and attachments | The same period as the support case they belong to (up to 12 months), then permanently deleted |
| IP address and browser details recorded with support requests | 90 days, then removed |
| Marketing contact information | Until withdrawal, removal, expiration of the relevant business purpose, or another applicable retention event; a limited suppression record may be kept so that an opt-out continues to be honored |
| Privacy requests and compliance records | For the period necessary to document compliance with applicable law |
We may retain certain records longer if necessary for an active legal dispute, investigation, legal hold, or statutory obligation.
Information removed from an active system may remain in restricted backups until those backups expire under their established retention cycles. Live support audio and video are not part of those backups, because calls are not recorded.
We will not retain information indefinitely without an appropriate continuing purpose.
15. Privacy and Data Security
We take reasonable administrative, technical, and organizational measures designed to protect personal information.
Depending on the system, these measures may include:
- Encrypted network communications.
- Secure authentication.
- Account access controls.
- Role-based permissions.
- Restricted administrative access.
- Secure file storage.
- Monitoring of suspicious activity.
- Security patches and maintenance.
- Backup and recovery procedures.
- Employee and contractor confidentiality requirements.
- Appropriate vendor security and confidentiality agreements.
- Security incident investigation and response procedures.
We restrict access to information based on legitimate business requirements.
Users should use strong passwords, maintain control of their credentials, and notify us promptly of suspected unauthorized access.
No internet service or electronic system can be guaranteed completely secure.
If a security incident occurs, we will investigate and provide notices required by applicable law.
16. California Privacy Rights

We will not unlawfully discriminate or retaliate against an individual for exercising applicable privacy rights.
16.7 Automated Decisionmaking Rights
Where applicable California requirements governing automated decisionmaking technology apply to our activities, we will provide the required disclosures and rights.
Routine product recommendations, video navigation, and support routing are not intended to make consequential decisions about an individual's employment, credit, housing, or similar opportunities.

We disclosed them for business purposes to the categories of recipients described in Section 12, including hosting, security, analytics, communications, email, payment, and live video (LiveKit) providers, and the manufacturer whose product support was requested.
In the preceding 12 months, we have not sold personal information and have not shared personal information for cross-context behavioral advertising.
We do not use or disclose sensitive personal information for purposes that would require offering a right to limit under California law.

For other Services, the notice may be provided through a properly placed link to the applicable section of this Privacy Policy or another compliant notice.
17. Privacy Rights in Other U.S. States
Oregon. Where the Oregon Consumer Privacy Act applies, Oregon residents may have rights to confirm whether personal data is processed, to access and obtain a portable copy of personal data, to correct it, to request deletion, and to opt out of covered sales, targeted advertising, or profiling with significant effects. Oregon law also provides a right to obtain a list of the specific third parties to which personal data was disclosed, subject to the law's conditions. Covered businesses must recognize qualifying universal opt-out signals as required by law.
Residents of other states may have rights under applicable state privacy laws, depending on the state, our processing activities, and the applicability of the relevant law.
These may include rights to:
- Access personal information.
- Confirm whether personal information is being processed.
- Correct inaccuracies.
- Delete personal information.
- Obtain a portable copy of certain information.
- Opt out of certain targeted advertising, sales, or covered profiling.
- Appeal a denial of a privacy request where required.
To exercise applicable rights, contact [email protected] with the subject line Privacy Request.
Where an appeal process is required, you may email the same address using the subject line Privacy Appeal, explain the decision you wish to appeal, and include a safe way to contact you. Where required, we will tell you how to submit a complaint to the applicable regulator. Requests involving information controlled by a manufacturer may be coordinated with that manufacturer.
We will process requests and appeals in accordance with applicable state law.
18. Children's Privacy
Our websites, business tools, and customer account services are intended primarily for adults and business users.
Account registration is intended for individuals who meet the eligibility requirements in our Terms and Conditions.
Our Services are not directed to children under age 13.
We do not knowingly solicit personal information directly from children under 13 without satisfying applicable requirements of the Children's Online Privacy Protection Act ("COPPA").
If we learn that personal information has been collected from a child in circumstances requiring parental authorization, we will take appropriate action consistent with applicable law.
Adults using our support services should avoid submitting unnecessary photographs or recordings of children.
Parents or legal guardians may contact [email protected] with privacy concerns.
Other age-related requirements, including restrictions on the sale or sharing of minors' personal information, will be observed where applicable.
19. Automated Tools and Artificial Intelligence
Some Services may use automated processes to generate, format, translate, organize, or recommend content.
Examples may include manual creation tools, automated descriptions, translations, content organization, and support assistance features.
The personal or project information processed depends on the particular feature requested.
Where third-party processing is required, we will use appropriate disclosures and safeguards.
Customer Content is not automatically licensed for unrelated artificial intelligence model training merely because a customer uploads it to our platform.
Any additional use for AI model training that requires disclosure or authorization must be separately addressed under applicable law and agreements.
We do not use live customer support video calls for facial recognition or biometric identification.
20. Third-Party Services, Links, and Embedded Content

- YouTube.
- Vimeo.
- LiveKit.
- Google services.
- 3D model viewers.
- Payment processors.
- Other authorized integrations.
These services may have their own privacy policies and information-handling practices.
When users interact directly with independent third-party services, those third parties may independently process information under their applicable notices and policies.
Our Privacy Policy does not replace the privacy disclosures of independent third parties.
We encourage users to review applicable policies when leaving our websites or using externally provided features.
Business customers who embed our technology on their own websites may have additional privacy responsibilities for the websites they operate.
21. Marketing Communications and Newsletter Preferences
Individuals may choose to subscribe to updates, newsletters, product announcements, and promotional messages.
We may collect contact information and subscription preferences for these purposes.
Recipients may unsubscribe from optional marketing emails using the unsubscribe instructions contained in those messages.
Unsubscribing from marketing does not necessarily stop transactional communications required to provide requested services, maintain accounts, or respond to support inquiries.
We will comply with applicable requirements governing commercial email and other marketing communications.
We do not sell customer support information as a marketing contact list.
22. Data Access, Corrections, and Account Deletion
Users may be able to review and update certain account details directly through the customer portal.
Requests involving information that cannot be edited directly may be submitted to [email protected].
Users may also request deletion of eligible personal information.
If information is associated with a manufacturer-controlled support case, we may coordinate the request with that manufacturer.
We will honor valid requests in accordance with applicable laws and contractual obligations.
Deleting an account or project may affect access to previously generated materials, stored files, support history, or hosted publications.
Content already downloaded or shared outside our systems may remain in the possession of recipients beyond our control.
23. International Access and Processing
Setup Videos primarily provides services to businesses and users in the United States, but our websites and hosted content may be accessible internationally.
Authorized service providers may process information in locations outside the user's state or country.
Where applicable international privacy laws require additional notices, agreements, transfer safeguards, or rights, we will implement them as required for the relevant activities.
This Privacy Policy is principally written for our U.S. services and does not, by itself, replace any additional disclosures required for services specifically offered to individuals in other jurisdictions.

The most recent version will display its effective date and last-updated date, and we will change the Last Updated date whenever a revision is published.
When required by law, we will provide additional notice of material changes.
Where new or additional consent is legally required, posting an updated policy alone will not substitute for obtaining that consent.
